How conference ticketing works on Checkout Page
A product setup example from this site's publisher. The free plan includes ticket types, registration fields and QR tickets. Staff accounts, bulk discounts and some other features require a paid plan. Compare platforms if you are still choosing software.
- 1
Create the event and connect Stripe
Create an event with its name, dates, venue and description, and connect your Stripe account. Complete any account verification before opening ticket sales; payment availability depends on Stripe's requirements.
- Add a cover image and a short description. This becomes the hosted page and the embed.
- Set the currency. Stripe supports 135+ currencies and local payment methods such as iDEAL and Bancontact.
- Turn on Stripe Tax if you need to charge sales tax or VAT automatically.
- 2
Add ticket tiers with prices, capacity and sales windows
Create a ticket type per tier: early bird, standard, VIP, student, team of 5. Give each a price, a capacity, minimum and maximum per order, and a start and end date so tiers switch over automatically.
- Group ticket types (In-person, Virtual, Workshops) so the page stays readable.
- Show remaining quantity only where the number is real; use deadlines, not seat counts, as the urgency lever.
- Add coupon codes for sponsors, speakers and partners, each with a usage limit and expiry.
- 3
Add registration questions
Add the fields you will act on: name on badge, organization, role, dietary needs, accessibility, session or workshop choice. Use conditional logic so a workshop question appears only when a workshop pass is selected.
- Keep the required list to information you need for payment, admission or event planning.
- Split long forms into steps: tickets, attendee details, payment.
- Answers export to CSV and can sync to Google Sheets or your CRM through Zapier or webhooks.
- 4
Share the link or embed on your website
Every event has a hosted page you can link from email and social. To sell on your own site, paste the embed code into WordPress, Webflow, Framer, Squarespace or Wix as an inline form or a popup button.
- Use one canonical tickets URL in every campaign and add UTM parameters for attribution.
- Configure tracking on a supported paid plan, then verify the events in your analytics tool; embedding alone does not establish attribution.
- Test the purchase, confirmation email and check-in flow before announcing; a free-ticket test does not exercise payment processing.
- 5
Check attendees in with the QR scanner
On event day, open the scanner on any phone, tablet or laptop. Scan the QR code on each ticket or search by name, email, ticket code or order ID. Several staff can work different entrances at once and the count updates live.
- Invite event staff who can only check people in, not edit the event (Launch and up).
- Export the attendee list the evening before as a printed fallback; the scanner needs an internet connection.
- A second scan of the same ticket shows as already checked in, so shared screenshots get caught at the door.
Setup questions
- How long does setup take?
- Setup time depends on your ticket tiers, registration form, website and Stripe account readiness. Prepare the event details and test a complete registration before opening sales. This guide is a sequence of tasks, not a measured completion-time benchmark.
- Do I need a website?
- No. A hosted event page can be shared as a link or a QR code. If you have a website, an embedded checkout is another option. Configure and test tracking separately if you need purchase attribution.
- Can I change tiers after sales start?
- Yes. Prices, capacities and dates can be edited at any time. Existing orders keep the price they paid. Adding a late tier or a workshop add-on mid-campaign is common.
- Can several people manage the event?
- Yes. Paid plans allow unlimited team members, and event staff accounts can be limited to check-in only.
