Assumes 15% of tickets sell in the late window and one ticket per paid order, with processing at 2.9% + $0.30 per order. Include platform subscriptions in Other costs, fixed per-ticket platform fees in Cost per attendee, and any platform percentage in Payment processing. Taxes, refunds and payment fees on sponsorship income are not modeled.

How to use the result

The result is a budget scenario, not a forecast of what attendees will pay. Compare the tiers with your audience, program and alternatives. If the required price looks unrealistic, revisit costs, sponsorship, attendance and margin assumptions. What the fields mean

  • Fixed costs do not change with attendance: venue, AV, speakers, marketing, staff.
  • Cost per attendee does: catering, badge, lanyard, swag, printed program. Ask the caterer for a per-head quote.
  • Sponsorship reduces what tickets need to cover. Only count signed sponsors.
  • Share sold at early bird is your estimate of the ticket mix. The default is illustrative; use prior sales data where available.

Frequently asked questions

How does the calculator set the standard price?
It adds your fixed costs to per-attendee costs, subtracts sponsorship, grosses up for your target margin and payment processing, then divides by expected attendees. Because early bird sells below standard and late sells above it, the standard price is solved so the blended average hits the target, then rounded up to a clean number.
What margin should a conference aim for?
Set a target based on your event's funding needs, cost uncertainty and reserves for the next event. The default is an illustrative assumption. This calculator measures the target margin on ticket revenue after payment processing, after subtracting sponsorship from the costs tickets need to cover.
Why does it round ticket prices?
The calculator rounds each tier up to increments of $5, $10, $25 or $50 depending on the price band. That makes the output easier to adapt into a ticket plan, but it is not a claim that rounded prices convert better. Rounding can change the effective discount and margin.
Does the calculator include ticketing platform fees?
Include platform subscriptions in Other costs, fixed per-ticket platform fees in Cost per attendee, and platform percentages in Payment processing. The default payment estimate assumes one ticket per paid order at 2.9% plus $0.30 per order. Use the fee calculator to estimate your selected platform's separate charges.
